Job Description:
Fit Recruiting is seeking a Business Operations Specialist for a
thriving business in downtown Mobile, Alabama. This position is
essential to the Business Operations Department, a collaborative
administrative support team committed to delivering high-level
support across multiple departments to ensure seamless
organizational operations. The ideal candidate must be
detail-oriented, highly organized, technologically adept, and
possess strong communication and teamwork skills. Salary is in the
$60K\u2014$70K range, depending on experience, plus company
benefits. Duties: Provide comprehensive operational and
administrative support to ensure efficient workflows and the
successful execution of priorities. Manage complex calendar
scheduling, including coordinating logistics for team meetings,
organizing recurring check-ins, and overseeing the calendars of
various stakeholders. Maintain a well-organized and accurate system
for tracking accounts. Prepare and distribute internal
communications and team updates. Utilize company systems to extract
valuable data for analysis that informs strategic decision-making.
Facilitate planning and executing logistics for team meetings and
presentations. Prepare, update, and distribute polished materials,
including agendas and presentations for account reviews, claims
assessments, and prospect meetings. Assist Managing Directors and
other Account Team members in coordinating external events such as
sponsorship activities, customer outings, or contracted events when
applicable. Manage and prioritize various requests and projects to
support the strategic objectives of the Managing Directors.
Coordinate detailed travel arrangements, including booking airfare,
accommodations, ground transportation, and dining reservations.
Accurately reconcile and process expense reports bi-weekly,
ensuring adherence to organizational policies and timelines.
Qualifications: Experience in operations or administrative support
in a corporate setting Administrative support in an executive or
high-level sales role is a plus Associate’s or bachelor’s degree is
preferred, or an equivalent combination of education, training, and
experience. Demonstrated expertise in Microsoft Outlook, Microsoft
Word, Microsoft Excel, Microsoft PowerPoint, and Microsoft
Co-Pilot. Possible occasional travel may include overnight
trips.
