Job Description About the Company We are excited to announce
that we have Medical Support Assistant (MSA) openings at multiple
facilities across the South-Central VA Health Care Network (VISN
16), which serves a remarkable population of 1.3 million Veterans
throughout a 175,000-square mile area, including Mississippi,
Louisiana, Arkansas, and portions of Texas, Oklahoma, Missouri,
Alabama, and Florida. About the Role The role of a Medical Support
Assistant is crucial in ensuring Veterans receive timely and
well-coordinated healthcare services. As an MSA, you’ll become an
essential administrative partner to our clinical teams, taking on
responsibilities such as patient scheduling, assisting Veterans
with their appointments, and helping clinics run smoothly each day.
Responsibilities Answering calls, greeting and helping patients.
Scheduling and coordinating medical appointments. Updating patient
demographic and insurance details. Documenting patient
interactions. Working closely with clinical staff to support
overall patient care. Monitoring appointment requests and managing
consults. Ensuring scheduling is completed according to VA
guidelines. Serving as an initial point of contact for the units,
clinics, ED. Tracking, reviewing and responding to electronic
orders, consults, and other elements in the electronic medical
record and medical systems. Scheduling appointments by following
VHA Outpatient Scheduling Directive and Standard Operating
Procedures. Utilizing the Electronic Waiting List accurately in a
timely manner. Notifying supervisor when clinic access is less than
desirable. Daily review of Consults, active/pending text orders,
Encounter reports, Electronic Wait List, Recall list and Audio care
communications for accuracy and disposition. Scheduling and
coordinating appointments for return visits and future
appointments. Ensuring clinics are blocked when physicians are on
leave or for scheduled meetings/training. Utilizing Recall Reminder
Software policies when scheduling is beyond the 30-day request.
Managing the telephone triage and determining if any emergency
situations exist. Providing excellent customer service and adhering
to VA Local, National and Service policies and procedures.
Qualifications Citizenship: Be a citizen of the United States
(U.S.). Non-citizens may be appointed when it is not possible to
recruit qualified citizens according to 38 U.S.C. § 7407(a).
Experience. No experience required. Education. High school diploma,
General Education Development equivalency certificate, or
proficiency certificate from a State or territorial-level Board or
Department of Education. Licensure/Certification/Registration. None
English Language Proficiency. Candidates must be proficient in
spoken and written English in accordance with 38 U.S.C. § 7403(f).
May qualify based on being covered by the Grandfathering Provision
as described in the VA Qualification Standard for this occupation
(only applicable to current VHA employees who are in this
occupation and meet the criteria). Required Skills Practical
knowledge of computerized data entry and information processing
systems. Understanding of the healthcare system's organization and
services. Knowledge of standard procedures, utilizing medical
records, and medical terminology. Preferred Skills Experience in
scheduling and coordinating medical appointments. Ability to manage
medical data and patient movement effectively. Pay range and
